Extensions
How to create an employee’s extension, set its SIP password, forwarding and call rights, and create many extensions at once.
For PBX version 0.3 (alpha)
An extension is an employee’s number inside the company. A phone or a softphone is connected to it. Extensions are in “Employees” → “Extensions”.
Create an extension
- Click “Add extension”.
- “Extension” — 2 to 8 digits. The panel suggests a free number by itself.
- “Employee name” — colleagues see it in lists and on their phones.
- “SIP password” — click “Generate”, then “Copy”, and keep the password: the phone needs it.
- Click “Save”, then “Apply” in the yellow bar at the top.
Keep a copy of the password before you create the extension. After saving, you cannot view it again — you can only set a new one in the “New SIP password” field.
An extension cannot be created if its number is already taken by another extension, a group, a queue or a menu, matches an emergency number, or starts with the outside line digit.
Extension settings
Open an extension for editing from the list. Its tabs:
- “Employee” — “Department”, “Position”, email and “Mobile” for the directory; “Outbound Caller ID” — the number people see when you call outside; “Hide the number”; “Call rights”; “Call recording”: “By the PBX’s rules”, “Always record” or “Never record”.
- “Phone and SIP” — “Codecs”, “DTMF (tone dialling)”, “SIP transport”, “Devices at once” (1 to 5), “Call waiting”, “Phone behind NAT (a router)”, “Allowed networks”.
- “Forwarding” — what to do with a call.
Department, position, email and mobile are only for the directory and search; they do not affect calls.
Forwarding
“Ring the phone for, seconds” — how long the phone rings before the “If no answer” condition applies. For each condition, choose an action:
| Condition | When it applies |
|---|---|
| “Always (the phone does not ring)” | at once; the employee’s phone does not ring |
| “If busy” | the employee is already on a call |
| “If no answer” | the phone rings, but nobody picks up |
| “If unavailable (not registered)” | the phone is off or not connected |
Actions: “Do not forward”, “To an extension”, “To a ring group”, “To a queue”, “To an external number” (through the chosen provider) or “Hang up”.
Many extensions at once
- “Range” — create extensions in a row, for example from 201 to 230. In the “Names” field,
{n}is replaced with the number. - “Import CSV” — load extensions from a table. The whole file is checked first: if it has an error, not a single extension is created.
- “Export CSV” — export the extensions to a table.
Up to 1000 extensions at a time. Download the passwords of the new extensions with the “Download extensions and passwords (CSV)” button while the window is open: you cannot view them later.
Extension state
The list shows whether a phone is connected — “Online”, “Offline” or “Talking” — and its address, device and ping. If an extension is “Offline”, see the article Common problems.
